Preparing and knowing what to expect when converting to VoIP is the key to a successful transition.
Assign Destinations: Ensure each ported number is directed to a specific user (extension) or call routing service like a ring group or auto-attendant. Note: Porting typically occurs on the scheduled day only.
User App Login: All users should log in to their VoIP service user app and register any physical phones they use.
Outbound Caller ID: Choose the desired outbound caller ID for each extension.
Pre-Launch Test: Set up and test your call flow using a temporary number provided by your Project Coordinator. This ensures everything works flawlessly before switching over.
Test All Features: Test all elements of your call flow, including Auto Attendants, and verify day/night schedules, greetings, and proper routing.
Ensure all integrations such as Salesforce or Microsoft Teams are active and functioning properly. Have integration administrators on standby in case of any issues.
Login to your phones and change your default PIN codes. Then login to your voicemail and leave a personal and customized greeting.
Confirm assigned team members and establish procedures for unanswered calls to route to voicemail, another user extension, or to an auto-attendant.
Day before activation: Make sure all phone numbers you're porting are assigned to extensions, call flows (like Auto Attendants), or call ring groups within your new VoIP system.
Forwarding Backup: Individual users can set up a mobile failover number should their VoIP system lose registration to the carrier due to power or internet outages.
Technical Support: Anticipate needing some technical assistance during activation. This could include help registering phones, resetting user passwords, or troubleshooting call flow issues. Your VoIP provider's activation and provisioning teams will be available to assist you.

Phone number porting typically happens between 12 pm and 4 pm EST on activation day. The actual switch of the phone numbers from your old carrier to your new VoIP provider usually only takes minutes. During the switchover, you may drop phone calls if using your old phones at that time.
